• *a day in the life**:
Reporting to the Senior Manager, Workplace Administration, the Executive Assistant Operations Manager leads team of Executive Assistants and supports the business continuity of Senior Leadership. The Operations Manager is responsible for overseeing Executive Assistant team hiring, growth and development. Oversees and supports the compatibility of EA to Executive partnership and Executive portfolio pairing strategy that enables business success and transformation across each Executive function. This person is an experienced people leader, operator, relationship builder and strategist who can independently execute and also prioritizes collaboration. With planning and communication Operations Manager is a key support partner and advisor to Senior Leadership, Executive Assistant development, supporting in success of Executive offices and overall enterprise goals.
• *responsibilities**:
– Manages day to day leadership of a team of Executive Assistants.
– Manages hiring and portfolio decisions of Executive Assistants within their respective departments.
– Provides ongoing coaching, training, and feedback to Executive Assistants
– Assesses and manages Executive Assistant performance including performance improvement plans, development plans, and formal performance reviews
– Responsible for setting clear goals for direct reports, monitoring their skills and performance, and providing coaching on an ongoing basis
– Supports ongoing team development through delegation of various tasks and
– responsibilities
– Tracks and monitors period and quarterly budget for people related expenses (ex. staff rewards, food, etc )
– Oversees executive coverage for EA vacations and supports in overall vacation coverage
– Builds and maintains relationships with Executives that fall within the team portfolio, creating a positive and consistent experience for new and tenured Executives.
– Collaborates with cross functional partners on pilots and rollouts of new business process and policies that impact team.
– Oversees all aspects of performance management including Mid Year and Year End processes
– Fosters a sense of team through rewards and recognition, team development and team building activities.
• *qualifications**:
– 2-5 years leadership experience.
– Excellent business acumen and ability to exercise initiative, tact, sound judgment and prioritization.
– Strong written and verbal communication skills with ability to interact with all levels of the organization
– Able to observe and maintain the utmost confidentiality.
– Advanced-level Microsoft Outlook, Word, Excel and PowerPoint proficiency.
– Experience working with a publicly traded company.
– Knowledge of the Executive department an asset
