What You Will Do Executive Administrative Assistant
As an Administrative Assistant, you will play a vital role in the day-to-day operations of the advisory team. You will be a key point of contact for both clients and internal partners, ensuring that client needs are met with accuracy, efficiency, and professionalism. Your work will support client satisfaction, regulatory compliance, and the overall productivity of the advisory team. Your responsibilities will include:
- Providing front-line service and administrative support to clients and the advisory team, both in person and remotely.
- Maintaining and managing client accounts by ensuring that all documentation is accurate, complete, and compliant with internal and regulatory standards.
- Managing key timelines, critical dates, and administrative tasks related to client accounts to ensure seamless and consistent service delivery.
- Responding promptly and effectively to client inquiries regarding account transactions, documentation, reporting, and general account information.
- Handling all incoming communications, including phone calls, emails, and requests, and ensuring they are directed or resolved in a timely manner.
- Assisting with the onboarding of new clients by facilitating account setup and guiding clients through the initial documentation and process.
- Coordinating and preparing client and prospect meetings, including agenda setting, scheduling, document preparation, and follow-up.
- Ensuring client files are audit-ready and fully compliant with internal policies and regulatory standards, including the maintenance of Wealth Management process documentation.
- Supporting the Advisor in monitoring and tracking Wealth Management activities and client deliverables.
- Acting as a liaison between the advisory team and other internal departments including compliance, operations, and technology.
Must-Have Qualifications
To be successful in this role, candidates must bring a combination of relevant experience, administrative acumen, and a client-first mindset. The following qualifications are required:
- Completion of a post-secondary diploma or degree, or equivalent work experience (minimum of 3–5 years in an administrative or client service capacity).
- Demonstrated excellence in verbal and written communication, time management, and organizational skills.
- Ability to handle multiple tasks and prioritize work under pressure in a fast-paced, deadline-driven environment.
- A collaborative team player who thrives in supporting others and contributing to shared goals.
- Attention to detail and a strong sense of accountability when managing confidential client information and compliance requirements.
- Proficiency in using business software applications, including the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- A professional demeanor and commitment to delivering a superior client experience.
Nice-to-Have Qualifications

- Previous experience in the securities industry or private wealth management environment.
- Familiarity with retail banking operations, branch procedures, or head office administration.
