As a Clerk II, you’ll provide essential administrative support to a Director and the broader branch, tackling a wide array of tasks from document management and telecommunications to general clerical duties. This role encompasses a broad range of responsibilities, including managing physical and electronic documents, ensuring smooth telecommunications operations, and providing general clerical support. You’ll be a vital resource, utilizing your strong organizational and problem-solving skills to contribute to the efficiency and effectiveness of the branch.
What will you do?
• Prepare schedule, agendas, minutes, and memos
• Organize meeting invites, locations and documents required
• Provide clerical services within meetings when required
• Data entry, formatting, and proofing planning and policy documents, memorandums, letters, circulations, etc
• Prepare mail-out notices for land development applications, public meetings, public notices, or other documents
• Receive and enter all contract and/or account payable information incorporate systems as appropriate
• Ensure accurate and timely entry of all contracts and accounts payable/receivable
• Manage workflow for the Director in relevant business applications (POSSE, PeopleSoft, etc.)
• Assist with additional Section-wide clerical support duties as required
• Creating paper and electronic files for Property Transactions; provide them to appropriate Agent
• Provide backup and support for other Administrative staff in the section and branch as required
• Other duties as assigned
Qualifications
• Completion of Grade 12 and completion of an appropriate certificate program from an approved business college/post-secondary school or equivalent
• Minimum of 2 years progressively responsible and diverse office experience including composing correspondence, word/data processing, taking meeting minutes, serving as a first point of contact, and providing administrative support successfully
Assets:
• Certification related to office management or professional administration is preferred
Skills required for success:
• Strong written and verbal communication skills
• Proficiency with Microsoft and Google applications, POSSE, and SAP as required by the section
• Strong organizational skills with the ability to work independently
• Knowledge and understanding of legislation, bylaws, procedures, and/or policies governing the business actions of the assigned area
• Able to demonstrate initiative and resourcefulness
• Build and maintain positive relationships and strong partnerships with team members and branch staff
• Knowledge of municipal government processes
• Attention to detail and ability to perform tasks with a high degree of accuracy
• Able to handle confidential and sensitive information

Conditions of Employment:
• Hire is dependent on a Criminal Records Check (CRC) security clearance that is satisfactory to the City of Edmonton and is a requirement of this position. There may be a cost associated with this requirement

Work Environment:
• Note: This position may be eligible for a hybrid work arrangement with the flexibility to work from both home and the worksite as per the Letter of Understanding between the City of Edmonton and Civic Service Union 52
• The weekly hours of work for this position are currently under review and may change at a future time. Any changes will be made in accordance with the City of Edmonton/Civic Service Union 52 collective agreement and the incumbent will be notified in advance
