We are seeking a highly professional and organized Office Administrator to support our client’s Public Practice firm in Calgary. As the first point of contact for the office, you will play a key role in managing the day-to-day operations, creating a welcoming atmosphere, and facilitating communication across the team.

Key Responsibilities

Your responsibilities as the Office Administrator will include:
• Print files, assemble client packages, manage invoicing, schedule appointments, and scan signed documents.
• Order, receive, and maintain appropriate levels of office supplies.
• Record incoming client payments and manage client packages via courier or registered mail.
• Ensure filing systems are maintained
• Assist with photocopying, scanning, faxing, and filing for office staff.
• Communicate with clients regarding various requirements and inquiries.
• Support project management tasks, such as tracking timelines and facilitating team communication.
• Prepare daily and weekly bank deposits and record receipts.
• Answer inbound inquiries and direct clients to the appropriate person.
• Resolve client concerns in a timely manner.
• Schedule internal and external appointments.
• Perform other duties as required.

What You Bring to the Role
• 3+ years of administrative experience.
• Diploma, certificate, or degree in office administration (or equivalent experience).
• Strong technical aptitude and ability to learn new systems quickly.
• Excellent organizational, time management, and attention-to-detail skills.
• Strong verbal and written communication skills.
• Proficiency with Microsoft Office 365 (Word, Excel, Outlook, Teams).

Compensation and benefits:
