Job Description: Examination Assistant
Are you a detail-focused and dependable administrative professional who thrives in a structured, process-driven setting? Our client is seeking an Examination Assistant to support their national certification process and ensure the integrity of exam procedures. This hybrid role is based in mid-town Toronto and offers the chance to work with a collaborative team on meaningful regulatory work while applying your strong organizational and data entry skills in a fast-paced environment.


What’s in it for You:

  • Annual salary: $48,000–$50,000

  • Benefits after 3 months, including RRSP contributions

  • 2 weeks’ vacation, paid sick days, summer Friday hours, and holiday closures

  • Monday–Friday, 8:30 am to 5:00 pm; hybrid schedule (2–3 days in-office; full-time during onboarding)

  • Convenient mid-town Toronto location with easy transit access


Key Responsibilities:

Application Processing & Candidate Support

  • Verify candidate eligibility and review applications for completeness

  • Enter and verify application and payment details

  • Communicate with candidates by phone and email to follow up on missing information

Examination & Registration Administration

  • Assist with hand-scoring requests and result notifications

  • Support preparation and quality assurance of admission cards, result letters, and candidate packages

  • Help coordinate certificate mailing and licensing statements

  • Maintain accurate records and archive documents in database systems

General Administrative Support

  • Perform clerical tasks such as photocopying and filing

  • Handle confidential information securely and responsibly


Qualifications:

Education & Experience

  • 2–3 years of administrative experience

  • Post-secondary diploma or degree preferred

Skills & Attributes

  • Exceptional accuracy with data entry and recordkeeping

  • Strong written and verbal communication skills

  • Professional and client-focused demeanor

  • Ability to multitask, meet deadlines, and manage changing priorities

  • High integrity, confidentiality, and attention to detail

  • Comfortable working independently and collaboratively

  • Resilient and positive under pressure

Technical Skills

  • Intermediate proficiency in MS Word and Outlook

  • Experience or willingness to learn relational database systems

  • General computer literacy and adaptability to new technologies
